The Skill Matrix module is used to categorize and track employee skills within the organization. Employees can add their skills and assign ratings, which are then verified by an approver. This provides a detailed overview of their capabilities and helps in filtering employees based on skill sets for future project assignments, ensuring the right individuals are selected for each project.
Accessing the Skill Matrix
- To access the Skill Matrix feature, click the App icon in the navigation bar and select Skill Matrix.
- The Skill Matrix contains six tabs:
- My Skills
- Worklist
- Skill Matrix
- Skill Repository
- Skill Group
- Settings
Configuring the Skill Rating in the Settings Tab
- Click on the Settings tab.
- To add a Skill Rating Scale, click on click here link.
- Select the rating level and enable or disable the decimal rating scale. After selecting the rating level, a table will display the rating score, name, and description.
- Once the rating scale is set, click the Submit button.
- To edit the rating scale, click on click here link to update the name and description.
Note: The selected rating scale cannot be edited.
- Choose the Approval Flow for who will approve the skill, and click Save to complete the setting.
Setting Skill Repository
- Click on the Skill Repository tab.
- To add a skill, click the Add Skill button.
- Enter the Name and Description, then click Save.
- You can Edit or Delete the skills in the skill repository as needed.
- Use the Search Bar to find specific skills by name.
Note: Skill Repository will be mapped with skill groups.
Creating a Skill Group in the Skill Group Tab
- Click on the Skill Group tab.
- To add a skill group, click the Add Skill Group button.
- Enter the Name and Description, then click the Save button.
- After creating the skill group, click the click here link to add skills to that group.
- Select skills from the dropdown list and click Save.
Note: Skills will be added in the Skill Repository tab, and these skill sets will be mapped to the corresponding skill groups.
- Click on Update to add more skills or remove existing ones.
- You can Edit or Delete the skill group as needed.
- Use the Search Bar to find specific skill groups.
Adding Skills in the My Skills Tab
- To add new skills, the employee needs to click the Add Skill button in the My Skill tab.
- Select the Skill Name, Skill Rating, Years of Experience, and Comments, and upload any relevant documents by clicking the Choose File button. Once all details are completed, click Save to keep the entry in draft status, and click Submit for approval.
- You can edit or delete skills while they are in draft status.
- Once submitted, the skill request will be sent to the approver.
- Employees can view the status of their submitted skills, including whether they have been approved or rejected by the approver.
- Use the Search Bar to find specific skills.
Approving Employee Skill Requests in the Worklist Tab
- The skill request from the employee will be displayed in the Worklist tab.
- In the Worklist tab, the approver can review the skill approval request and either approve or reject it.
- Approvers can view skill requests and either approve or reject them.
- If a request is rejected, a valid reason must be provided.
- Approvers can use the Search Bar to search for employee names.
- Approvers can filter requests by selecting either the Pending or Completed option.
Filtering Employees by Skills in the Skill Matrix Tab
A Skill Matrix is a visual tool that lists the skills and levels of expertise of individuals or teams within an organization. It helps identify available skills, highlights areas for improvement and assists in resource planning to ensure the right skills are matched with appropriate tasks or projects.
- In the Skill Matrix tab, employees can be filtered by selecting Departments, Skill Group, and Skills.
- Click Apply to list employees based on the selected criteria, or click Reset to clear the filters.
